Pediatric Clinic Manager

Lifelong Access is seeking a Clinic Manager to lead many of the operational components of the Pediatric clinic. This role will ensure smooth operations, along with providing excellent customer service to patients and their families. This position requires strong organizational, communication, and problem-solving skills. This position will also supervise assigned clinic administrative staff. Clinic Services include Pediatric Therapy (over age 3 services) and Early Intervention Services. Primary responsibilities include:
  1. Supervision of assigned Staff: Fulfill supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance, coaching, and developing employees, addressing concerns, and resolving problems.  
  2. Coordinate Referrals: Ensure referrals to specialists are processed correctly and assist patients with the necessary paperwork. 
  3. Waitlist Management: Maintain an organized and up-to-date waitlist of clients requesting appointments. This includes tracking client information, appointment preferences, and acts as system administrator of referral system.
  4. Client Intake: Overseeing the client intake process, coordinating with site director and prior authorization specialist as needed. Delegation of duties as needed across teams not to exclude insurance details and consent forms.   
  5. Introduction to new families: Collaborates with the site director to assist new families within the clinic, ensuring their transition to pediatric services is informed and positive.
  6. Patient Registration: Collect and update patient information, including personal details, medical history, scripts, insurance information, and consent forms. 
  7. Appointment Scheduling: Coordinating with therapists to manage patient appointments, ensuring the schedule is organized and efficient.
  8. Communicate with other team members: Collaborate with therapist(s) to relay client information, coordinate schedules, and address urgent client needs. 
  9. Authorization tracking: Communicates and collaborates with the prior authorization staff to ensure accuracy of authorizations that parallel with client schedules.
  10. Coordinate and communicate with the billing department on a regular basis.
  11. Assist the site director with management and implementation of the following clinic operations:
    1. Security & emergency plans.
    2. Management of clinic office and operational supplies.
    3. Management of clinic spaces.
    4. Caseload assignments.
    5. Clinical promotion to include coordination with marketing department and executive team.
    6. Address client complaints and concerns. Work to resolve issues in a professional and timely manner. 
  12. Clinic Improvement: Identifying areas for process improvement and implement changes to enhance office efficiency and client experience. 

Qualifications:
  • Minimum of associate’s degree in business or related field, with minimum of 2 years’ experience working in a clinical environment, or equivalent combination of relevant education and experience.     
  • Management experience preferred but not required.
  • Excellent interpersonal skills, including ability to provide positive customer service experience. 
  • Demonstrated ability and willingness to promote a positive work environment.   
  • Ability to work with a high level of independence in prioritizing responsibilities and adapting to changing conditions.    
  • Previous experience of working with children who have special needs preferred. 
  • Previous experience working in a clinical environment preferred. 
  • Ability to work with distractions and interruptions in the work environment. 
  • Strong organizational skills.
  • Valid Illinois driver’s license with safe driving record.
  • Current proof of automobile insurance.

Working Conditions    
While performing the duties of this job, the employee will be in an inside office environment.  The noise level in the work environment is usually moderate.

While performing the duties of this job the employee will have prolonged periods of sitting at a desk and working on a computer. Employee is regularly required to talk and hear. Specific vision abilities required by this job include close and distance vision. Occasionally is required to stoop, kneel, crouch, or crawl.  The employee must be able to lift to 15 pounds frequently, and up to 25 pounds occasionally.
